Assigning user roles to a new user

There are various user roles available in Profit.co for which the associated features would vary with the type of user. Each employee of an organization can be assigned a suitable role based on their designation. We have ensured that you can choose the user role based on the available functions that you want the user to have access. Assigning roles to the deserving users is very important as it is the milestone for your performance with OKRs.

It is important to remember that only a superuser will be able to add a new employee to the organization. The users are categorized as below :

  • Super user
  • Profit manager
  • Profit user
  • Read only user

As the names suggest, a superuser will have access to perform all the major and minor functions in the app. The superuser can also take up the role of a proxy for all the other users in the organization.

The users are split into four major hierarchical categories, the highest ranging from the superuser to the read only user, which is the lowest category. Let’s discuss the type of user and their roles in detail.

  1. Super User
  2. This role is basically assigned to top level management personnel who need administrator level access to perform all kinds of functions in the app. Almost like a superhuman, the person entrusted with this role is powerful enough to add or eliminate any kind of actions throughout the system.

  3. Profit Manager
  4. This role is usually assigned to the heads of departments or the middle level management personnel who are responsible for managing and supervising a team of employees. While this role does not empower the person with unlimited power, it does give limited superior functional features with respect to the management of department OKRs, creation of new OKRs and review of existing OKRs in the department.

  5. Profit User
  6. Most of the employees in the organization are usually assigned the role of profit users in order to enable them to create individual OKRs that can in turn be aligned with the departmental OKRs to achieve common interest towards the fulfilment of organizational goals as a team. A profit user can also create tasks and perform check-ins which would help in contribution towards the OKRs of the department.

  7. Read Only User
  8. The read only user would only have access to analyze and observe the status of the organizational OKRs and track the accomplishments made by various departments. Customized access can also be given to these users to the tasks and KRs that have been specifically assigned to them.

Steps to create a user with a proper user role :

Once you click the ‘create user’ icon, you will be asked to enter the personal information of the employee. After entering the required information like user id, name, email and the granted login access, the next step would be to furnish information related to the department of the employee.

In Profit.co, assignments are delegated down from managers or reporting heads. The main idea behind aligning OKRs is to manage interdependencies by solving complex goals with structured and 360 degree alignment.

Here’s where you ought to assign a suitable role to the user based on whether the user needs top management administrative level access (superuser) or the access as a department head (profit manager) or access as an employee who can create individual OKRs ( profit user) or customized access to specific KRs and objectives as directed by the department head (profit read only user).

It is also essential to note that the role of an employee can be changed anytime by the superuser in case of promotion of an employee, detention of an employee or just granting a temporary change in the access granted to a user.
